Guest Registration Procedure (2nd Shift: 3:00 PM - 6:30 PM)

Arrival and Preparation
Arrival:
Arrive at the venue by 2:45 PM to check in and prepare for your shift.
Locate the Sign-In Table at the front door to collect your Volunteer Wristband.
Shift Handover:
Meet with the 1st Shift Volunteers to get updates on:
Any remaining VIPs or preregistered guests who haven’t checked in yet.
The status of orange tickets and will-call tickets.
Any issues or guest concerns that need to be addressed.
Set-Up:
Familiarize yourself with the Guest Registration Table setup.
Ensure the following materials are ready:
Laptops provided for accessing the Google Sheet Registration Worksheet (for all guests and VIPs).
Internet access to ensure smooth use of the Google Sheets.
Preprinted name badges with lanyards for VIPs.
Will-call tickets
Orange tickets for preregistered guests to redeem their $4 discount.
QR code signs for guests to scan and access the online event schedule.
Pens and other supplies.
Guest Registration Process
During your shift, follow these steps to ensure smooth guest registration:
1. Welcoming Guests:
Greet each guest warmly with a smile and a friendly tone.
Thank them for attending National Lumpia Day 2025.
2. Registration Check-In:
Ask for the guest’s name and locate it on the Google Sheet Registration Worksheet using the provided laptops.
Confirm their registration and check them in.
For preregistered guests, provide them with an orange ticket to redeem their $4 discount on the Lumpia Buffet:
Explain that they need to present the orange ticket at the buffet counter to receive the discount.
Direct them to the QR code sign to scan and access the online event schedule.
3. VIP Guests with Will-Call Tickets:
For VIPs, locate their name on the VIP Google Sheet using the provided laptops.
Confirm their registration and check if they have will-call tickets:
Give them the number of tickets assigned
Mark their ticket as collected on the Google Sheet Registration Worksheet.
Hand them their preprinted name badge with a lanyard.
Ensure the lanyard is worn visibly.
Direct them to the QR code sign to scan and access the online event schedule.
4. Answer Questions:
Be prepared to answer common questions about the event, such as:
Location of specific activities (e.g., Lumpia Buffet, Demonstration Area).
Timing of key events (e.g., Lumpia Making Competition, Awards Ceremony).
Restroom locations or parking details.
If you’re unsure about a question, direct the guest to the Coordinator for assistance.
Additional Responsibilities
Monitor Guest Flow:
Ensure the registration process runs smoothly without long wait times.
Politely direct guests to move to the next area after completing registration.
Restocking Supplies:
Keep an eye on registration materials (e.g., orange tickets, name tags for VIPs, pens) and restock as needed.
Notify the Coordinator if supplies run low.
Maintain Cleanliness:
Keep the registration area tidy and organized throughout the shift.
Shift Wrap-Up (6:30 PM):
Final Wrap-Up:
Ensure all registration information in the Google Sheets is accurate and up to date.
Organize the will-call ticket envelopes and preprinted VIP name badges for any VIPs who haven’t arrived.
Collect any unused orange tickets and ensure they are properly stored.
Sign-Out:
Notify the Coordinator that your shift is complete.
Key Notes for Volunteers
Be friendly and patient with all guests.
Ensure VIPs receive their preprinted name badges with lanyards and their will-call tickets in envelopes.
Provide preregistered guests with their orange ticket for the $4 Lumpia Buffet discount.
Direct all guests to the QR code signs to access the online event schedule.
Use the provided laptops for accessing and updating the Google Sheets.
Direct any issues or concerns to the Coordinator immediately.
